No-Show Policy Examples and Appointment Reminder Texts That Cut Missed Appointments

A no-show policy template, real salon and dental policies, what to charge, whether no-show fees are legal, and reminder texts to copy, backed by the research on what works.

Timothy Bramlett By Timothy Bramlett ·

A clear no-show policy and a couple of reminder texts are the two cheapest fixes for missed appointments. In one large review of healthcare studies, a simple text reminder raised attendance from 67.8% to 78.6%.

This guide gives you a policy template, real policies from salons and dental offices, what the rules say about charging a fee, and reminder texts you can copy.

How common are no-shows?

In healthcare, very. A 2018 review of 105 studies in the journal Health Policy put the average no-show rate at about 23%.

Abstract of a systematic literature review: of the studies selected, the average no-show rate is of the order of 23%, highest in Africa at 43% and lowest in Oceania at 13.2%, with high lead time and prior no-show history as the main predictors
Dantas et al., "No-shows in appointment scheduling: a systematic literature review." Source: PubMed, 2018.

The two biggest predictors were booking far in advance and a history of missing before. Both are things a reminder and a policy can work on.

Salons see fewer true no-shows, but more last-minute cancels. In a 2026 Fresha survey of UK salon clients, 23% admitted cancelling with under 12 hours' notice or not showing up at all.

No-show policy template

A good policy answers five questions: how much notice you need, how to cancel, what counts as a no-show or late arrival, what it costs, and when you'll waive it. Copy this and fill in the brackets.

Cancellation and no-show policy

We hold your appointment time just for you. If you need to cancel or reschedule, please let us know at least [24] hours ahead by calling or texting [number].

Cancellations with less than [24] hours' notice, and missed appointments, may be charged [$50 / 50% of the service]. Arriving more than [15] minutes late may mean we need to reschedule, and that counts as a late cancellation.

We'll send a reminder text [the day before], but it's your responsibility to keep track of your appointment. We understand emergencies happen, and we may waive the fee once at our discretion.

By booking, you agree to this policy.

Then make sure every client actually sees it. Put it on your booking page, in your confirmation text, and on a sheet new clients sign.

Real no-show policy examples

Here's what real businesses post on their own websites. Salons and spas tend to charge a share of the service, while dental offices charge a flat fee.

Salon: tiered by notice

Vibe A Salon Collective asks for 48 hours. Under 48 hours costs 25% of the service, under 24 hours costs 50%, and a no-show is charged in full before you can book again.

A salon's posted policy: at least 48 hours notice requested; less than 48 hours notice is charged a 25% penalty fee, less than 24 hours is charged 50%, invoiced by email and paid before booking again; a no-show is charged 100% of the services missed

Massage studio: full charge, card on file

Sticks and Stones Massage requires 24 hours' notice and holds each booking with a credit card. A late cancel or no-show is charged the full appointment price.

A massage studio's cancellation policy: 24-hour advance notice is required when canceling, otherwise you will be charged the full amount of your appointment; appointments are reserved with a valid credit card; no-shows are charged the full amount

Dental office: flat $25

Children's Dental Haven confirms every appointment by phone, text or email. Missing one, or changing it with under 24 hours' notice, may cost $25, which insurance doesn't cover.

Dental clinic: three strikes, then $50

Rutgers School of Dental Medicine warns before it charges. The first miss gets a call, the second a call and a letter, and the third in 12 months costs $50.

How much should a no-show fee be?

Across the policies and owner comments in this guide, the numbers cluster in a few ranges.

Business Notice window Typical fee
Salon or barber24 to 48 hours15% to 50% for a late cancel, up to 100% for a no-show
Massage or spa24 hours50% to 100% of the service
Dental office24 to 48 hoursFlat $25 to $100, often after a warning

Healthcare practice software maker Tebra says only 27% of the practices in its 2026 research charge a no-show fee at all. If your fee is meant to change behavior, a flat amount people notice works better than one so small nobody cares.

Generally yes, if the client agreed to the policy before booking. Medical and dental offices have a few extra rules; this is general information, not legal advice.

Doctors and dentists

The American Medical Association's Code of Medical Ethics allows missed-appointment fees. It says to clearly tell patients in advance and to base the fee on reasonable costs to the practice.

Medicare allows it too, with one condition. Its claims manual, as quoted by the law firm Baker Donelson, says you can charge Medicare patients if the same policy applies to every patient.

Medicaid is different. Attorneys at Kaufman Dolowich say many states, including California, Florida, New York and Texas, read federal Medicaid rules as limiting charges to Medicaid patients.

Kaufman Dolowich article: are no-show fees legal? Yes, in most cases. CMS allows charging Medicare beneficiaries for missed appointments if non-Medicare patients are charged too. Many states, including California, Florida, New York and Texas, interpret federal Medicaid law 447.15, acceptance of state payment as payment in full

Insurance contracts can also forbid billing patients directly. Check yours before you add a fee.

Salons, spas and other businesses

We found no U.S. government guidance specific to salon or spa no-show fees. What protects you is a written policy the client agrees to when booking, ideally with a card on file.

What owners say about charging no-show fees

The top answer in an r/Dentistry thread on no-show fees argued for a shorter window and a flat fee:

A Reddit comment in r/Dentistry: 24 hours is more common and fair, and a flat fee around $50 is enough to discourage people from no-showing. With 48 hours, I'd dread coming to the office if something else pops up.
r/Dentistry, November 2022. Source: reddit.com

Another office put the policy on a sheet patients sign, and repeats it in the confirmation text:

A Reddit comment: we added the cancellation policy as a sheet patients sign, and added a reminder in the confirmation texts that go out a week prior saying they may be charged a cancellation fee. We usually don't charge for the first offense and only charge $50. No pushback.
Source: reddit.com, November 2022.

Stylists worry that clients will just lie about being sick. This one gives everyone one free pass a year instead:

A Reddit comment in r/hairstylist: I charge a 15% fee. If they figure out you waive the fee for sickness they'll just lie. I typically give a client one freebie a year because people do get sick, as do I.
r/hairstylist, February 2024. Source: reddit.com

Chargebacks are the big fear. One stylist gave up on fees entirely:

A Reddit comment in r/smallbusiness: I do hair. I don't take a card for pre booking anymore, I just do three strikes and out. I had a no-show billing policy for years but it was a pain arguing with people, and they can just do a chargeback and win.
r/smallbusiness, December 2023. Source: reddit.com

But an esthetician who has clients agree to the policy up front had the opposite experience:

A Reddit comment in r/Esthetics: I've only ever had 2 people dispute the charges with their credit card company, and they didn't win. They agree to my cancellation policy. If they no-show I charge the card and ban them from booking unless they prepay.
r/Esthetics, November 2022. Source: reddit.com

The difference is the agreement. A policy the client accepted in writing is much easier to defend than one they never saw.

Do appointment reminder texts actually work?

Yes, and the evidence is strong, though it all comes from healthcare. A 2013 Cochrane review of eight randomized trials found attendance of 67.8% with no reminder, 78.6% with a text and 80.3% with a phone call.

Cochrane review main results: eight randomised controlled trials with 6,615 participants; text message reminders improved attendance compared to no reminders and had a similar impact to phone call reminders. Attendance rates were 67.8% with no reminders, 78.6% with text reminders and 80.3% with phone call reminders. Text reminders cost 55% and 65% less per attendance than phone calls in two studies.
Gurol-Urganci et al., "Mobile phone messaging reminders for attendance at healthcare appointments." Source: PubMed, 2013.

Texts did about as well as calls, and cost 55% to 65% less per kept appointment in the two studies that measured it. That's why most businesses text instead of calling.

A 2016 review in BMJ Open found people who got reminders were 25% less likely to no-show. Sending more than one reminder worked better than sending one.

BMJ Open meta-analysis results: patients who received notifications were 23% more likely to attend than those with no notification, and 25% less likely to no-show, 15% versus 21%. Multiple notifications were significantly more effective than single notifications.

Appointment reminder and confirmation text templates

Every reminder needs your business name, the day, date and time, where to go, and one easy way to confirm or change it. Keep each under 160 characters when you can, so it arrives as a single text.

Booking confirmation (right after they book)

"Willow Salon: You're booked with Ava on Thu, Nov 6 at 2:00 PM. Need to change it? Reply here or call 555-0142. 24-hr cancellation policy: [link]"

Confirm request (2 days before)

"Hi Sam, Lakeside Family Dental here. Your cleaning is Thu, Nov 6 at 9:00 AM. Reply C to confirm or R to reschedule."

Day-before reminder

"Reminder from Summit Heating and Air: your tech arrives tomorrow between 1 and 3 PM at 412 Oak St. Reply R if you need a new time."

Morning-of reminder

"See you today at 2:00, Jordan! Willow Salon, 18 Main St. Running late? Just text us."

After a no-show

"Hi Chris, we missed you at your 10:00 appointment today. Hope everything's okay. Reply here to pick a new time."

For medical and dental offices, keep health details out of the text. "Your appointment" is safer than naming the procedure.

One more thing before you start texting customers from a business number. U.S. carriers now require business texting to be registered, a process called A2P 10DLC, or your texts may be blocked.

When to send appointment reminders

The research didn't find one perfect time. A 2016 meta-analysis of 28 studies found timing made no significant difference, and half the studies sent the text within 48 hours of the appointment.

A simple schedule that covers both forgetting and last-minute conflicts:

1Right after booking: a confirmation with your policy link.
248 hours before: ask them to confirm, while you can still fill the slot.
3The morning of, or 2 hours before: a short nudge.

If your notice window is 24 hours, the 48-hour text matters most. It gives clients a chance to cancel inside the rules, and gives you a day to rebook the time.

Don't miss the reschedule call

A reminder text often makes the phone ring. "Can I move my 2:00?" is a call you want to answer, because a moved appointment is a kept one.

If that call goes to voicemail while you're with a client, it can turn into the no-show you were trying to prevent. Our guide to missed call text back covers one fix.

Zinng answers your business line with an AI phone agent and gives you a shared texting inbox. Customers can confirm, reschedule or ask a question by phone or text without waiting for you to call back.

FAQ

What is a no-show policy?

It's a written rule that says how much notice clients must give to cancel and what happens if they miss an appointment without notice. Most set a 24- or 48-hour window and a fee.

How do I write a no-show policy?

State the notice window, how to cancel, what counts as a no-show or late arrival, the fee, and when you'll waive it. Then have clients agree to it when they book.

How much should I charge for a no-show?

Salons and spas often charge 25% to 100% of the service, and dental offices often charge a flat $25 to $100. Pick an amount large enough to matter but small enough to collect without a fight.

Can a doctor's office charge you for a no-show?

Generally yes, if patients were told about the fee in advance, and Medicare allows it when the policy applies to all patients equally. Some states limit charging Medicaid patients, and some insurance contracts forbid it.

Do text reminders reduce no-shows?

Yes. In a Cochrane review of eight trials, attendance rose from 67.8% with no reminder to 78.6% with a text reminder.

When should you send an appointment reminder text?

A common schedule is a confirmation at booking, a confirm request 48 hours before, and a short reminder the morning of. Studies found no single best time, so pick one that leaves you time to fill a cancelled slot.
